You can share your calendar with other people within or outside your workplace in Microsoft Office Outlook 2007. I use this function to let my team let me know when I am in a meeting or out of the office.
Step 1.) In the left pane of Microsoft Outlook Outlook 2007 you should see something that looks like the screenshot above. Here you will find all of your calendar options. You can also find them in the “Tools” menu. “How To Share Calendars” will take you directly to the Microsoft Online Help to review some of your calendar sharing options. Open a shared calendar shows calendars that you are sharing and calendars that are shared with you. I usually pick the ” Share My Calendar” option this will then produce the screen below. “Publish your calendar” will move it to Microsoft Online You can also “Add New Group” which allows you to sort your calendars into different groups for example Microsoft default is My Calendars, People’s Calendars, and Other Calendars.
Step 2.) The option above to “Share Your Calendar” will open up the dialog box shown below. This merely sends an email with an ivitation to the user to share you calendar. If they accept your calendar will be viewable by them. You can edit the sharing options in “Permissions” so that you can limit only for read access for example.
Step 3.) Permissions can be found by right clicking in the blank space are next to the date as shown in the screenshot below. “Change Sharing Permissions” will do the exact thing as “Share Your Calendar” however it wont send an email. It will let you share your calendar by using a contact in your address book. You can specify what access to give them as well (Read, Write, Other, Delete). This is all located under the “Permissions Tab” within “Change Sharing Permissions” button as shown below.
Step 4.) There you have it you have successfully shared your calnedar with another user and can specify different permissions settings within “Change Sharing Permissions” under the “Permissions” tab. You can also simply click on the “Share your Calendar” link which will send them an email containing a link to view your calendar and which in turn imports your calendar into theirs. Using this option by default, Microsoft only gives them read access to your calendar.
