You may have a public folder setup in exchange server that has the ability to have members. Recently I had a client that had a public folder setup with an email address that was hard for her external clients to remember.
For example she had a public folder called “Applications.”
Microsoft Exchange Server allows you to setup “public folders.” Mainly these are setup so that you don’t have to setup email accounts for multiple people to use. Instead you are not actually setting up an account instead you have a public folder in which you designate an email address for. This way you are not actually using a Exchange license and setting up an email account instead you are merely designating an address to a public folder. In addition, you have the ability to setup multiple email addresses for a folder.You will see this below.
So external clients could use the email applications@yourdomainname.com and email the people that were a member of this particular public folder. She found that the external users couldn’t remember the email address so she requested that I add apps@yourdomainname.com to the e-mail addresses accepted by this public folder.
Once I set this up then anyone could email apps@yourdomainname.com or applications@yourdomainname.com and it have the same effect. This only applies to public folders as we dont actually have a user setup in Active Directory or in Exchange Server called “Applications”
Here’s how:
1.) Logon to your exchange server with Admin privelages
2.) Navigate to Start>Programs>Microsoft Exchange Server 2007 > Exchange Management Console
3.)In the below screenshot you will see the “Exchange Management Console” you must then navigate and click on “Public Folder Management Console” as shown in the middle pane of the the “Exchange Management Console” below.
4.) After you have clicked on “Public Folder Management Console” you will see the following screen below. Here on the left pane you will see a list of the public folders you have set up in Exchange Server 2007. If you have previously set one of them up with an email address you will see a envelope on top of the folder icon. For example as you see below we are looking at the “Applications” folder. Previously, we setup a email address for this account called “Applications.” This means that someone could email “applications@yourdomainname.com” I now want to be able to use “apps@yourdomainname.com” in addition to “applications@yourdomainname.com” and have them go to this same public folder.
5.) As shown above with the “Applications” folder highlighted in the right pane you will see “Properties” click on that and then the dialog box “<foldername> Properties” will appear as depicted above. Underneath the “Properties” dialog box click on the “E-Mail Addresses” tab and then you will click the “Add” folder as shown below the following dialog box will appear.
The “SMTP Address” dialog box will appear here you will put in your new email address to be used for this public folder “apps@yourdomainname.com” There you have it we have setup multiple addresses to the same public folder.
